Assistant Athletic Director

Position Description

This is a full-time, 12-month position with benefits. 

Classification: Exempt

Position Reports to: Director of Athletics

Positions Supervised: Coaches, Athletic Trainer, Athletic Facilities Technician, Gate Workers, and Interns  

Position Purpose

In keeping with the mission and core values of Lexington Christian Academy, the Assistant Athletic Director provides vision, leadership, direction, and supervision of all athletic programs from grades 6 - 12.  The Assistant Athletic Director works to provide positive athletic development and spiritual growth opportunities for LCA student-athletes. The Assistant Athletic Director provides guidance and direction to the Coaches in establishing, monitoring, and enforcing the policies set forth by LCA’s Board of Directors and is responsible for mentoring and providing growth opportunities for all Head Coaches in conjunction with the Athletics chaplain. Emphasis is directed toward the student-athlete to ensure that godly character development, academic excellence, and progression of athletic skills are the primary goals.  The Assistant Athletic Director manages all operational duties of the Athletic Department and is responsible for following all standards and rules as set forth by the KHSAA.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Athletic Department Oversight:
The Assistant Athletic Director takes responsibility for the day-to-day operations of the school’s athletic programs. This begins with the overall spiritual goals of the department as well as the spiritual objectives within each program. This oversight includes, but is not limited to, financial, event management, booster club management, personnel and revenue stream management.  

Budget Preparation:
The Assistant Athletic Director is responsible for working closely with all coaches, private contractors, and other department personnel to present a proposed budget to the Director of Athletics. They will then work with the Athletic Committee chair and Director of Finance to set the budget for each school year in accordance with the Athletic Budget Development policy. Program and sport-specific fundraising is also a component of the Assistant Athletic Director’s budgetary responsibilities.

Financial Management:
The Director of Athletics and Assistant Athletic Director share responsibility to maintain appropriate and adequate control over the finances of the athletic department. This includes, but is not limited to personnel budget, program equipment and supplies, merchandising for the school store, gate receipts and event expenses, and concessions revenue and expenses, and fundraising. Planning includes both short and long-range planning. The Assistant Athletic Director will work closely with the Finance office to ensure oversight and adherence of policy and procedures. 

Professional Development and Management of Coaching Staff and Support Staff:
The Director of Athletics and Assistant Athletic Director share responsibility for the recruitment and management of all employed and volunteer coaches, consistent with LCA policies and procedures. This includes, but is not limited to, coaches’ meetings, evaluations, crisis management, orientation, CPR/First Aid certification compliance, and field/facility responsibilities. The Assistant Athletic Director has authority over all day-to-day aspects of sport-specific decisions including, but not limited to, music selections, uniform selections, and varsity letter criterion.

Student Athlete Eligibility and Development:
The Assistant Athletic Director ensures that procedures are in place to properly evaluate and report student athlete eligibility in accordance with LCA policies and KHSAA regulations. This includes health, physical development, and academic eligibility.  The Assistant Athletic Director, in conjunction with the training staff and the Athletics Chaplain, is also responsible for the oversight of the student athlete’s physical, emotional, character, and spiritual development. This oversight includes, but is not limited to, all programs and personnel who impact the student athlete.

Game/Event Management:
The Assistant Athletic Director is responsible for the successful organization of all games and athletic-related events. This includes, but is not limited to, oversight of team schedule development; coordination of game/event scheduling with facilities office; field/facility preparation; event, concessions and gate management; event security; and ensuring that fields and facilities are cleaned and secured at the conclusion of the game/event. The Assistant Athletic Director has the authority to assign management tasks to department personnel and/or coaches as he/she sees fit to accomplish these tasks. 

Public Relations and Stakeholder Communication:
The Assistant Athletic Director shares responsibility with the Director of Athletics for a comprehensive communication strategy. This strategy includes, but is not limited to, public relations, communication between the athletic department and staff, and communication with students and parents in a timely manner. This communication strategy also extends to media outlets and post-secondary institutions, professional publications and associations.

QUALIFICATIONS/education/certification

Bachelor's Degree; Master's Degree Preferred; CPR/First Aid Certified

Understanding of the rules and regulations of KHSAA

  • Administrative skills in budgeting, hiring and other personnel processes
  • Self-motivated and ability to work independently while demonstrating good time management skills
